Renew an Adult card

  1. Pull up patron’s record by scanning the card
  2. Click on View/Edit Address button
  3. Under the Contact Information tab, verify that all information is correct
  4. Click on the Basic Information tab
  5. Under the Basic Information tab, verify that all information is correct. This includes making sure the Alternate ID number is the same as that on the photo ID. Identification numbers should be entered with capital letters and all numbers, omitting any dashes or spaces. If the current ID number is entered differently, please correct the format.  This is particularly important to update in older records so they can be retrieved by this unique identifier.
  6. Change the expiration date
    1. For County residents and patrons residing in the adjoining Virginia county: Warren, Frederick, Page and Rockingham counties, change expiration date to 3 years in the future
    2. For non-residents of Shenandoah County, who do not meet the criteria in the section above, and are Virginia residents, charge $10.00 and change the expiration date to 1 year in the future
    3. For non-residents of Virginia, charge $10.00 and change the expiration date to 6 months in the future
  7. Make sure that the patron has signed the back of their card as proof of acceptance of Cardholder Statement of Agreement;

Renew a card for a BB, EC, or MC patron

  1. Pull up patron’s record by scanning the card
  2. Click on View/Edit Address button
  3. Under the Contact Information tab, verify that all information is correct
  4. Click on the Basic Information tab
  5. Under the Basic Information tab, verify that all information is correct
  6. Check birth date to determine if the Patron Type needs to be changed to the next age group
  7. Change the expiration date
  8. Verify that the Responsible Party’s address is correct AND it is the same as the child Note: If the child lives at a different address than the Responsible Party, the address in Tab 1 should be that of the Responsible Party.  See the below screenshot.
  9. In Tab 2, put the child’s address and put a note in the Comment field such as “Resp Party is grandmother” etc.
  10. Ensure that Responsible Party (and patron, if possible) has signed the back of the card as proof of acceptance of Cardholder Statement of Agreement.

Renew a card for a YA patron

  1. Pull up patron’s record by scanning the card
  2. Click on View/Edit Address button
  3. Click on the Basic Information tab
  4. Check birth date to determine if the YA Patron needs to be changed to an Adult
    1. If so, verify with the patron that it is OK to delete the Responsible Party (explain that this means s(he) is financially responsible for items checked out on the card)
    2. If so, remove the Responsible Party on the under the Relationship tab
  5. Under the Basic Information tab, verify that all information is correct
  6. Under the Contact Information tab, verify that all information is correct
  7. Change the expiration date to 3 years in the future

  8. Make sure the patron has signed the back of the card as proof of acceptance of Cardholder Statement of Agreement
