Understanding Weekly Reports

Branches receive three regularly scheduled reports per week. These reports are delivered on Mondays and should be addressed with a week.

The three weekly reports are:

  1. Borrower with Overdue Items by Responsible Party: 11-17 days overdue
  2. Items Marked In-transit or Lost/missing by Select Holding Code(s): Items with Lost or Missing status 4-10 days
  3. Items Marked In-transit or Lost/missing by Select Holding Code(s): Items with In-Transit status for 9-30 days

It may be confusing to determine which report is which, as they may have similar sounding titles.  Please see examples of the titles on each of the types of reports below.  The last line of information in the title, as highlighted in the graphic, tells you what items are outlined in the report.

What should the branches do with these reports?

Report #1: Borrower with Overdue Items by Responsible Party: 11-17 days overdue

Branch contacts patrons to make them aware of overdue a materials through calls or postcards.

Report #2: Items Marked In-transit or Lost/missing by Select Holding Code(s): Items with Lost or Missing status 4-10 days

Volunteer/staff member searches that library’s shelves for items listed. If you find items? Check them in and correct fees OR contact Elizabeth @ County to correct.

Report #3: Items Marked In-transit or Lost/missing by Select Holding Code(s): Items with In-Transit status for 9-30 days

Volunteer/Staff member should:

  1. Search that library’s shelves for items listed.
  2. Contact “destination” location to search for the items listed. You can look up where an item’s status was last established as a clue to where the item was last seen.
  3. Check in any found items.

Ignore items with “in repair” status
