Institutional Cards

Institutional Cards should only be granted by branch managers.  Please direct any institutions to apply for cards when a manager is on duty.

Before an Institutional card is granted, the organization must complete the Institutional Application.  The application should be presented to and filled out by the responsible party, who must already have a personal library card.  Present the responsible party with the Institutional Application Letter and Privilages & Responsibilities sheets.  Links to these documents can be found below.

To add a new institutional card:

  1. In the circulation program, select “Add New” Under Borrowers from the left-hand navigational panel.
  2. A pop-up dialog box will appear asking for the initial borrower information. The name of the institution should be entered into Last Name.   No First Name is required.  This is done to make the institution easily searchable by name.
  3. Scan the card number into the ID
  4. Set the borrower Type to IN- Institutional.
  5. Set the Expiration Date to a year from the current date.
  6. Save and editing the card.
  7. Under the Contact Information tab, please fill out all of the fields with the institutional information provided on the application.
  8. Under the Borrower Information tab, list names of additional authorized users, along with corresponding driver’s license numbers, in the Comment field. Set a PIN number for the institution if desired.  No additional fields are required for this tab.
  9. Under the Relationships tab, assign the responsible party for the institution as the primary contact listed on the application.
